New York Times Company successfully launched Coupa in June 2021 as
its enterprise procure-to-pay business spend management solution.
We are seeking a Procurement Operations Manager to join our newly
formed Procurement Operations Team. This is an exciting opportunity
to help shape the direction of the department and immediately
impact the company. You will report to the Director, Procure-to-Pay
(P2P). You will oversee a team of three (3) Procurement Operations
team members and cross-train your team in the following
areas:Supplier Enablement and Catalog ManagementSupplier
Onboarding, General Coupa Help Desk, Coupa TrainingTactical Buying
and Sourcing EventsCompliance and Contract AdministrationSpend Data
Analytics and ReportingResponsibilities:A high executor of tasks,
deliverables, as outlined by the Director, Procure-to-Pay (P2P) and
VP of Strategic SourcingEnsure efficient procurement operationsRun
daily reports on PO status and work with team to resolve, redirect
and actionCreate documentation to further services and growth of
department (e.g., Standard Operating Procedures, Playbooks, Service
level agreements, Training Materials, FAQ's)Handle escalated Coupa
Help Desk tickets to resolutionBecome a subject matter expert in
all modules of Coupa and assist internal customers with performing
transactions.Monitor Procurement inbox, slack channel and
CoupaAssess 'Buyer Action' requisitions according to Category
playbookBuild relationships with internal customers and act as a
first contact for Coupa or Procurement questionsSend supplier
business reviews to a predefined Company audienceCreate Coupa
questionnaires for Company usersPerform 'Ultimate Approver'
functionsAct in the 'Buyer Action' role and follow up with
procurement leads on next stepsReview non-catalog requisitions for
completion, compliance, and potential negotiation
opportunities.Engage Departments and seek opportunities for greater
efficiency and cost savingsCreate and maintain Category
playbooksMonitor opportunity triggers and report findings to
Director, Procure-to-Pay (P2P) and VP of Strategic SourcingWork
with Company end-users and AP team to onboard new suppliersPerform
spend analytics and reporting for Director, Procure-to-Pay (P2P)
and Strategic Sourcing ManagersIdentify trends in spend for
non-catalog suppliers, review data, draw conclusions and present to
an executive audienceReview and edit deliverables prepared by
others for accuracy and applicability, being final stop before
sharing outside the teamIdentify areas of non-compliance; reiterate
and enforce Procurement policy and process for consistencyProvide
suggestions to newly formed procedures which are efficient and
provide additional ValueLead Google Hangouts trainings on complex
topics and join Company department calls as a 'listener to provide
perspective afterward'Provide coverage for other Procurement
Operations Team Members when out of officeQualifications:Bachelor's
Degree in Business, Management, Administration or Supply Chain,
preferredExperience working with Coupa is highly desired5+ years'
experience running a Procurement Operations team from the ground
up5+ years' experience with sourcing, including supplier
relationship management and performance monitoringUnderstand when
to step into situations, without request, to lead by example, quell
conflict, and troubleshoot issuesAbility to manage multiple
projects at once, at different phases, and adjust to changing
prioritiesIntermediate / Advanced Microsoft excel (can maintain
complex spreadsheets) skillsAbility to summarize and present
dataStrong knowledge of procurement and supplier management
practicesStrong written and verbal communication skills.Comfortable
with presenting to groups, leading projects, and operating in
matrixed teams.Excellent customer service skillsAbility to work
under pressure to meet established deadlinesStrong organization
